When and what format should I write to my college to get my LOR and Transcript for master's?

So recently, I compiled a list of all the documents I need from my college, I. e. , LOR and Transcript, but I am confused when should I ask my college for these documents? And what is the email format for writing to them for the same? As I am in my final semester of Bachelor.
